Hours: 8.30am – 4.30pm; Monday – Friday
The purpose of this position will be to aid in the day to day administration of The Packaging Artwork Team and provide support as needed.
Job Description
Administration
• Responsible for providing full secretarial support to the New Product Introduction Manager, to include full diary management (accepting/ declining meetings), creating, updating and maintaining all correspondence, letters, agendas, reports, minutes and presentations
Department Administration
• Creating, updating and maintaining all general correspondence, e-mails, letters, agendas, report, presentations and other documents using the appropriate Microsoft office packages
• Carry our filing, scanning and photocopying on behalf of the department
• Attend meetings and take minutes as required
Order Control Management
• Order flexographic mats using Illustrator and Adobe Acrobat
• Receipt purchase orders for origination and departmental accounts
Sharepoint
• Appointed Administrator for the packaging artwork team’s sharepoint site
• Design, develop and maintain the site as necessary
e-doc Compliance
• Appointed Manager of document workflows in e-doc compliance
• Includes master packaging documents, SOPs, packaging master specifications, etc.
• Send out authorised documents to contractors and acknowledge their receipt
Origination Budget Management
• Logging and coding of origination invoices within department spreadsheet
Travel
• Booking and coordinating UK travel for personnel and delegates from other companies (to include transport, hotels, accommodation, itineraries, money etc.)
Library of Finished Packs
• Responsible for collecting and maintaining of finished pack library
Customer Packaging Requests
• Facilitate all customer packaging requests within company and contract manufacturers
Meetings
• Responsible for the coordination of a wide range of internal meetings from multiple directorates within company
• To include booking/ confirming meeting rooms and associated facilities, equipment and catering
Personnel
• Responsible for ensuring that all annual leave, approved absence, and sickness are recorded and submitted to personnel
Health and Safety
• Responsible for carrying out DSE assessments for all Production Personnel and carrying out necessary actions
• Appointed Fire Marshall for the department
Other
• Provide administrative cover to other Managers when required
• Undertake any other reasonable tasks of an administrative nature to help ensure the efficient day to day running of the department
• Responsibility for the departments IT equipment, stationary and general office supplies and ordering when supplies are required
• Responsible for processing all invoices/ credit card expenses and reward and recognition for the department
